AI Automation for Business: Choose a Useful First Project

By MEHWAR TECH 4 min read

Teams interpret long enquiries, consult documents, draft replies, summarise reports and copy document information into systems. These tasks can make AI attractive, but not every repetitive process needs it.

Assess the task’s volume, difficulty, information needs and consequences of mistakes. A useful first AI project has a defined job and a credible measure of improvement.

Separate ordinary automation from AI

Stable rules often suit conventional automation: reminders, agreed charges and routing a form to the right team. Predictable tasks do not become better merely because they use AI.

AI can help interpret variable text, documents and natural-language questions. Combine that interpretation with deterministic checks for required fields, permissions and routing. Let software enforce the rules; use AI where meaning varies.

Choose a bounded use case

Choose a task whose input, output and review point you can describe. Four candidates worth evaluating are:

Extracting requirements from enquiries and drafting replies for review, rather than responding independently.

Suggesting invoice or quotation fields for verification, without treating extracted values as approved financial records.

Answering questions about internal documents with references, so readers can check sources and identify missing information.

Writing narratives from management metrics already calculated by trusted systems, rather than asking the model to calculate business performance.

These are possibilities to evaluate, not performance guarantees. “AI managing the entire business” is too broad for a useful first scope.

Define what the system may do

Drafting differs from sending a binding quotation; suggesting a booking differs from confirming it; summarising payments differs from refunding them. Specify what the system may read, suggest and draft, where approval is required and which actions it may take.

Retain human approval where an error would be consequential. Software must enforce permissions and business rules regardless of an AI suggestion. Give people a way to reject, correct or escalate an output.

NIST’s AI Risk Management Framework takes an ongoing approach across design, development, use and evaluation. Build that thinking into the project rather than treating risk review as a final sign-off.

Test on work that resembles your business

Test on representative tasks using protected or de-identified information. Include incomplete and unusual inputs, escalation cases and work the system should decline. Where relevant, test Arabic, English and mixed messages with real industry terminology.

Measure output correctness, editing required, total time including review, important errors and handover behaviour. Faster drafts are not an improvement if corrections take longer. Review failures as well as averages, and agree acceptable results before expanding the pilot.

Evaluate the complete operating cost

AI fees are only part of the operating cost. Include integration, data preparation, evaluation, human review, monitoring, support and provider changes. Compare cost per successfully completed task, including work needed to correct or finish the output.

Count capacity savings conservatively; time released is not automatically a cash saving. Start assisted and expand responsibility only when evidence supports it. Maintain fallback processes so the team can continue when a service is unavailable or an output cannot be trusted.

Connect AI to useful business information

An assistant cannot reliably explain inconsistent business data. Current availability requires dependable booking-system access, not a plausible answer from an old document. Data quality or integration may therefore be the best first investment.

MEHWAR TECH treats AI as part of a workflow that includes business information, software connections and accountable people. The goal is to improve a defined job, not simply add AI to a product description.

Have a repetitive task that could work better? Bring one example: the input, the current work and the desired output. Discuss conventional automation, AI assistance or improving the underlying app. Describe the task without sending confidential information.

Have an industry. Have an idea. Let’s build the technology around it.
